Responsible Use Policy

What Map Extract is

Map Extract connects business discovery, contact enrichment, matching, outreach, social publishing and specialist research in Windows desktop software. This responsible use policy applies to every module, import, export and external action.

Core principles: Discover, Review, Act

Discover only information you may lawfully access for a defined business purpose. Review source accuracy, relevance, identity and permissions. Act only after checking the recipient, destination and exact content.

An AI suggestion, match score or public email address does not establish consent, legal authority or a verified opportunity.

Acceptable use

Use the software for proportionate business research, authorised contact enrichment, relevant communications, publication of content you have rights to use, and evidence based case or opportunity management. Keep records only while necessary.

Prohibited uses

Do not bypass authentication, paywalls, CAPTCHA, bans or other access restrictions. Do not use stolen accounts, impersonate people, fabricate reviews or evidence, infringe rights, overload websites or send unlawful messages.

Do not use the software to build intrusive personal dossiers, target vulnerable people, collect sensitive information without a lawful basis or make unsupported allegations.

Data sources and evidence rules

Respect source permissions, licensing conditions and access limits. Retain relevant URLs and collection dates so findings can be checked. A blocked, unavailable or superseded source is not a reason to evade its restrictions.

Separate observed facts from inference. Do not turn a partial source collection into a claim of complete coverage.

Enrichment and verification

Check that website, company and social profile records describe the same business before merging them. Correct inaccurate data and remove irrelevant fields. A published address may identify an individual; assess its use accordingly.

Matching and prioritisation

Review location, trade and supporting evidence before acting on a match. Treat ranking and AI classification as research assistance. Check important facts independently before commercial or legal decisions.

Outreach rules

Email: use an authorised sender, establish recipient eligibility and honour suppression. Contact forms: use the intended enquiry route and review the destination. Social: use relevant messages and comply with platform rules.

PR and journalist responses: answer a relevant request with accurate expertise and claims. Newsletter research: use an identity and inbox you are authorised to access; never subscribe another person without permission. Apply the Anti Spam Policy to every promotional channel.

Reputation Management and opportunities

Review complaints against supported evidence and applicable platform rules. Do not describe a negative opinion as unlawful merely because it is unwelcome. Obtain client authority before complaints, agreements or billing, and invoice only outcomes covered by signed terms.

Planning applications are proposals or decisions, not confirmed instructions. Companies House events do not establish physical premises activity. Sold STC is not legal completion. Use authorised sales feeds and independently check property and company evidence.

Utility tools

Test website journeys only with the site owner permission and agreed limits. Do not create artificial engagement or interfere with another service. Merge PDFs you may use, retain originals and check the final document. Device planning does not itself establish executed tests.

Legal compliance

You are responsible for applicable UK GDPR, PECR, intellectual property, confidentiality and source terms. Apply EU GDPR or other local rules where relevant. Public planning and Companies House data remain subject to lawful and fair use.

Identify a lawful basis for personal data, provide required privacy information and handle rights requests. The software does not provide legal advice or make a campaign compliant automatically.

Enforcement and reporting

We may investigate reported misuse and apply proportionate restrictions under the Terms. Local project data is not routinely inspected by us. Report concerns to [email protected] or [email protected] with relevant evidence and no credentials.
