Introduction

This privacy policy explains our handling of website, licensing, purchase, support and compliance information. It also explains how local project storage differs from data sent through features you choose.

Who we are and controller

MIRA NOVUM LTD is the controller for personal data we use to operate our website, licensing, customer support and business administration. Contact [email protected] or the operator postal address for privacy matters.

You determine the purpose and lawful basis for personal data you collect in your projects. Our role for any project data shared for support depends on the actual arrangement; any processing on your behalf requires appropriate instructions and safeguards. We do not appoint you or ourselves to a role merely through a label.

Local software and cloud connections

Business records, media preparation, browser profiles and module databases are stored on your Windows device. Examples include reputation.sqlite3, pr.sqlite3, x.sqlite3 and tiktok.sqlite3. We do not upload whole projects to our servers by default or remotely inspect their contents.

Searching websites sends requests to those sites. Outreach sends selected content to recipients and your provider. Publishing sends media and metadata to the chosen platform. Licence activation and validation contact the licensing service.

When you enable an external AI provider, the relevant prompt and chosen context, such as filenames, sidecar metadata and guidance, may be transmitted to it. Review that context first. A local model option depends on your endpoint configuration and should not be assumed local if you change its destination.

Data we collect

Website and service requests can provide IP address, request time, URL, browser information and security records to us or our hosting provider. Support and abuse reports provide the contact details, correspondence and attachments you submit.

Licence services process information needed to activate and validate access, such as licence identifiers and machine binding information. If purchases become available, order and transaction details will be processed to fulfil them. Checkout is currently closed. Payment providers handle payment credentials under their own notices.

Data we do not routinely collect

We do not routinely receive your local business lists, review cases, drafts, browser sessions or exports. You can choose to share a limited file for support. We do not sell personal data or use local project content for our marketing merely because you use the Software.

Lawful basis

We use contract where processing is necessary to provide an agreed licence or requested service; legal obligation for required records; and legitimate interests for proportionate security, support and fraud prevention after considering your rights.

We use consent where required, including any optional marketing or non essential tracking introduced in future. Consent can be withdrawn. UK GDPR applies where relevant, and EU GDPR applies where its territorial conditions are met.

How we use data

We use relevant information to operate and secure services, validate licences, answer questions, investigate abuse, fulfil orders where offered and meet legal obligations. We do not use this policy to authorise unrelated uses of project data.

Retention

We use the following retention limits unless a legal obligation, active dispute or documented security need requires longer: website records up to 12 months, purchase and tax records up to 7 years, support correspondence up to 3 years after the last interaction, and compliance reports up to 5 years.

Licence records are retained while needed to administer the entitlement and resolve associated claims. Local project retention is under your control. Delete unnecessary exports and backups as well as active records, while retaining the minimum suppression data needed to honour objections.

Sharing with third parties

We use service providers for hosting and security, licensing and communications. Payment and fraud providers process order information when those services are used. Advisers and authorities may receive information where necessary and lawful.

Your chosen AI, SMTP and publishing providers receive data through the features you enable and apply their own terms. Do not send personal or confidential material unless you have authority and an appropriate arrangement.

International transfers

Hosting and chosen providers may process information outside the UK or EEA. Where we make a restricted transfer, we must use an applicable adequacy decision or appropriate contractual safeguards and any required assessment. Ask [email protected] for information about the safeguards relevant to your data.

Local storage is on the device you use, wherever it is located. It is not necessarily in the UK.

Security

We use proportionate access and service protections. You should secure Windows, restrict device access, maintain backups and protect browser profiles. Passwords use Windows Credential Manager where implemented; this does not mean every local file is encrypted.

No system is completely secure. Redact secrets before sharing diagnostic material and contact us promptly about a suspected exposure involving our services.

Your rights

Depending on the circumstances, you may request access, correction, deletion, restriction, objection and data portability. You can withdraw consent without affecting earlier lawful processing. An objection to use of your personal data for direct marketing must be honoured.

Email [email protected]. We may need proportionate identity verification and normally respond within one month, subject to lawful extensions. You may complain to the Information Commissioner Office or another competent supervisory authority. For data another business collected with the Software, contact that business as controller.

Cookies and similar technologies

The current website does not include application analytics or advertising trackers. Hosting security may use necessary technology. Separate desktop browser sessions can retain platform cookies. See the Cookies Policy for scope and controls.

Children data

Map Extract is intended for business use and is not directed to children under 16. Do not use it to collect children data for marketing. Contact us if you believe a child has provided personal data to our services.

Changes to this policy

We will date revisions and explain material changes where appropriate. Publishing a revised notice is not consent to a new purpose where consent is required.
